About the registrar
Registrar maintains the university’s records management schedule worded in the Archives Law (1994/831).
Registrar’s Office is also responsible for terminal archives.
Registrar also maintains a managing system on which all incoming and outgoing documents that go through University Services are recorded and from which information about such documents is easy to retrieve. Also, the Registrar further devises this system.
Also, the prerequisite position register is kept in the Registrar.
The unit receives and processes those application documents for offices and scholarships that are delivered to the Registrar on the basis of an announcement.
On request, the Registrar gives the resolutions on filling professor’s posts or plans to fill such. The documents will be sent to a notified address either by e-mail or by mail.

Delivering documents in paper
Documents can be delivered to the Registrar personally, through an intermediary, or by regular mail.
Sending documents by mail happens at the sender’s own risk.
In case there is a deadline when the document must be in the Registrar’s Office, it should be borne in mind that the document has to be in the Registrar on the day of the deadline at the latest.

Recommendation about email attachments
If the document will be sent as an attachment in an e-mail, it has to be saved in the form of a word document (.doc), an excel document (.xls), in .rtf, PowerPoint, or in .pdf. If the sender uses another file type, it cannot be ensured that the attachment could be opened on the software used at the Registrar.
Publicity of the data
University documents and all information in them are public, unless they have been declared secret by virtue of the Act on the Openness of Government Activities (JulkL 1999/621). A typical example of a document declared secret is the type that contains information on a person’s health or on trade or research secrets. Publicity of documents is decided upon separately with each document. One can appeal against the decisions.

Documents arriving at the Registrar will be registered into the managing system. Single matters under discussion or documents can be asked for by telephone or e-mail or by visiting the Registrar at Yliopistonranta 7, Torni building, 2nd floor.
